Terms of Service

Last updated: July 7, 2026

These terms have not been reviewed by an attorney. If you have legal concerns about your use of this service, consult a lawyer before relying on these terms.

1. What RouteReady is

RouteReady is a software platform for independent school transportation operators. It monitors public procurement portals for bid opportunities, provides AI-assisted document parsing and outreach drafting, surfaces contract award history, and produces rebid window estimates based on publicly available data.

RouteReady is a decision-support tool. It does not guarantee contract awards, provide legal or financial advice, predict official procurement schedules with certainty, or guarantee that all open bids in Massachusetts are captured. Users remain responsible for verifying all information directly with issuing authorities before acting on it.

By creating an account or using the platform, you agree to these Terms of Service. If you do not agree, do not use the service.

2. Accounts

You must provide an accurate, current email address to create an account. You are responsible for keeping your password secure and for all activity that occurs under your account.

Notify us immediately at support@routereadyma.com if you believe your account has been compromised. RouteReady is not liable for losses arising from unauthorized account access caused by your failure to secure your credentials.

One account per operator. You may not share access credentials with parties outside your organization (Agency plan allows up to 5 seats).

3. Subscriptions and billing

Paid plans (Starter, Pro, Agency) are billed monthly through Stripe. Current prices are displayed on the Pricing page and in your billing portal. All prices are in USD.

Monthly billing: Your card is charged on the same date each month (the date you first subscribed). Billing continues automatically until you cancel.

Annual billing: Not currently offered. If we introduce annual billing, this section will be updated with the applicable rate and terms before it is offered at checkout.

Price changes:We will provide at least 30 days' email notice before any price change affects your active subscription. Price changes apply at the next renewal after the notice period.

4. Founding pricing

No founding-price offer is currently active for new signups. This section describes the policy that applies only if and when we offer a locked founding rate — it does not itself grant any discount.

Where a founding rate is offered, the specific price is whatever rate is shown to you and agreed to at the moment you sign up for it — never a figure stated elsewhere on the site or in past versions of these Terms. That locked rate applies for as long as your subscription remains continuously active, not forever: “continuously active” means it has not lapsed, been cancelled, or transitioned to a free or inactive state.

If a founding-rate subscription is cancelled and later restarted, the new subscription starts at the then-current standard price — the founding rate is not restored. Founding pricing does not extend to annual billing unless explicitly stated at checkout, and is not guaranteed to remain available indefinitely; it may be discontinued for new signups at any time without affecting accounts already locked in.

5. Free trial

After you complete account setup, you may start a 14-day Pro trial. No payment method is required to start it and none is collected at any point during it. The trial gives full Pro-plan access. If you do not choose a paid plan before the trial ends, your account automatically moves to the Free plan — no charge, and your data stays exactly as it is (see Section 6 for what changes on Free).

When you are ready to move to a paid plan, you can upgrade from your billing settings. Where direct card checkout is enabled, Stripe Checkout collects a payment method at that point (a requirement of Stripe's checkout flow, not a RouteReady choice) and the same 14-day trial period applies before your first charge; canceling before it ends means you are not charged.

Each operator is normally eligible for one trial. Trial accounts have access to all Pro features, including AI features, subject to the same hourly rate limits as paid accounts (40 AI actions per hour).

6. Cancellation and refunds

You may cancel your subscription at any time from the billing portal inside your account (Settings → Billing). Cancellations take effect at the end of your current billing period — you retain full access to the platform until that date, and your account then moves to the Free plan.

Refunds: We do not offer prorated refunds for unused time in a monthly billing period. If we introduce annual billing, annual subscriptions may be eligible for a prorated refund if cancelled within 30 days of an annual renewal charge — contact support@routereadyma.com within 30 days of the charge. We handle refund requests on a case-by-case basis.

Your data after cancellation: Canceling a subscription does not delete anything. Your bids, contacts, documents, and contract records all remain in your account on the Free plan, and some advanced views become read-only or limited until you resubscribe. Data is only ever scheduled for deletion if you separately choose to delete your account entirely (Settings → Privacy) — that action retains your data for 30 days as an export/undo window before permanent deletion. See the Privacy Policy for full retention details.

7. Acceptable use

You may use RouteReady for your own legitimate business purposes, specifically for finding and pursuing public school transportation contracts.

You may not:

  • Scrape, reverse-engineer, or extract data from RouteReady for redistribution or resale.
  • Attempt to access data belonging to another operator's account.
  • Circumvent rate limits, authentication, or other security controls.
  • Use the platform to harass, defraud, or harm other users or third parties.
  • Use AI-generated outreach drafts in a misleading, deceptive, or spammy manner.
  • Submit bids with knowingly false information generated or assisted by RouteReady.
  • Resell, sublicense, or redistribute platform features or data without written permission from RouteReady.

We reserve the right to suspend or terminate accounts that violate these restrictions.

8. Your data and our license to process it

You own your data. Company profiles, contacts, fleet records, documents, bid outcomes, and any other data you upload or create in RouteReady belong to you.

License to us: You grant RouteReady a limited, non-exclusive license to store, process, and transmit your data solely to operate the platform and deliver the features you use. This includes transmitting relevant portions of your data to subprocessors (Supabase, Anthropic, Resend, etc.) as described in the Privacy Policy. We do not use your data to train AI models or for any purpose beyond operating the service.

Public bid data: RouteReady collects and aggregates publicly available procurement data from state and municipal sources. This public-source data is not owned by users. Contract intelligence records are derived from publicly available award data and are provided for informational purposes only.

9. AI-generated content

RouteReady uses Anthropic's Claude API to generate bid summaries, outreach drafts, contract intelligence insights, Q&A responses, and daily briefs.

AI outputs may contain errors. AI-generated content may be incomplete, inaccurate, outdated, or not suitable for your specific situation. You are solely responsible for reviewing AI-generated content before using it in a bid submission, outreach email, or any other business action.

RouteReady does not guarantee the accuracy, completeness, or fitness for purpose of any AI-generated output. Using AI-generated content without your own review and judgment is at your own risk.

Outreach drafts are starting points. AI-drafted outreach emails are generated using your company profile as context. You edit and send from your own email client. RouteReady does not send emails on your behalf. You are responsible for the content of emails you send.

10. Procurement data disclaimer

Bid data is sourced from publicly accessible procurement portals including COMMBUYS, BidNet Direct, and an expanding set of Massachusetts municipal and district procurement pages.

  • Coverage is not complete. RouteReady does not capture every open bid in Massachusetts. Source coverage depends on which portals are actively monitored and what data is publicly accessible. Always check issuing authority websites directly for bids in categories important to your business.
  • Bid details may change. Due dates, requirements, insurance minimums, and other bid details can be amended after posting. RouteReady reflects the data available at the time of scraping; amendments may not be immediately reflected.
  • Verify before submitting. Always verify all bid requirements, deadlines, and specifications directly with the issuing authority before preparing or submitting a bid. RouteReady is not responsible for missed deadlines or submission failures resulting from reliance on platform data.
  • No guarantee of contract awards. RouteReady does not guarantee that using the platform will result in contract awards. Bid outcomes depend on factors entirely outside RouteReady's control.

11. Contract intelligence and predictions

The Contract Intelligence feature provides historical contract award data and estimated rebid windows based on publicly available procurement records.

  • Estimates, not official schedules. Rebid window predictions are statistical estimates derived from historical data. They are not official procurement dates and have not been confirmed with issuing authorities. Actual procurement timelines may differ significantly.
  • Confidence levels reflect uncertainty. Each prediction carries a confidence level (High, Medium, Low, or Unknown) reflecting the quality and recency of the underlying evidence. Low-confidence predictions should be treated as rough indicators only.
  • Historical data may be incomplete. Contract award records are sourced from public procurement portals and may not reflect all historical awards, particularly for older contracts or districts with limited online procurement history.
  • Always verify with the official source. Before making procurement decisions based on contract intelligence data, verify current contract status and procurement plans directly with the relevant school district or issuing authority.
  • Award amounts carry uncertainty labels. Where amounts are labeled “estimated” or “payment proxy,” they are approximations based on available evidence, not confirmed contract values.

12. Service availability and beta features

RouteReady is provided on a best-effort basis. We do not guarantee 100% uptime. Scheduled and unscheduled maintenance may temporarily interrupt service. We are not liable for losses arising from service interruptions.

Demo and beta features: Some features are marked as demo, beta, or experimental. These features are provided as-is and may be changed, limited, or removed without notice. Demo data is sample data only and does not reflect real bids or real contracts.

AI availability:AI features depend on the availability of Anthropic's API. If the Anthropic API is unavailable, AI features will be temporarily inaccessible. Billing is not adjusted for temporary AI feature unavailability caused by third-party outages.

13. Intellectual property

RouteReady's software, design, codebase, brand, and aggregated bid data are owned by RouteReady and its operator. These Terms do not transfer any intellectual property rights to you.

You retain ownership of all content and data you create or upload. See Section 8.

You may not copy, reproduce, or redistribute RouteReady's interface, bid database, or aggregated contract data outside the platform without written permission.

14. Termination

By you: You may cancel your account at any time via Settings → Billing. See Section 6 for the effect of cancellation.

By RouteReady: We may suspend or terminate accounts that violate the Acceptable Use Policy (Section 7), fail to pay, or engage in activity that puts the platform or other users at risk. We will attempt to notify you before termination except where security requires immediate action.

Upon termination, your right to access the platform ends immediately. Data retention follows the policy in Section 6 and the Privacy Policy.

Sections 9 (AI content), 10 (procurement disclaimer), 11 (contract intelligence disclaimer), 13 (IP), 15 (warranty), 16 (liability), 17 (indemnification), and 18 (governing law) survive termination.

15. Warranty disclaimer

Disclaimer of warranties

ROUTEREADY IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED. TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ROUTEREADY DISCLAIMS ALL WARRANTIES, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ACCURACY.

ROUTEREADY DOES NOT WARRANT THAT: (A) THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE; (B) ALL BID OPPORTUNITIES IN MASSACHUSETTS WILL BE CAPTURED; (C) AI-GENERATED CONTENT WILL BE ACCURATE OR COMPLETE; (D) CONTRACT INTELLIGENCE PREDICTIONS WILL MATCH ACTUAL PROCUREMENT SCHEDULES; OR (E) USE OF THE PLATFORM WILL RESULT IN CONTRACT AWARDS.

16. Limitation of liability

Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ROUTEREADY'S TOTAL LIABILITY TO YOU FOR ANY CLAIM ARISING FROM OR RELATED TO THESE TERMS OR YOUR USE OF THE SERVICE IS LIMITED TO THE AMOUNT YOU PAID ROUTEREADY IN THE 90 DAYS IMMEDIATELY PRECEDING THE CLAIM.

IN NO EVENT SHALL ROUTEREADY BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO: LOST PROFITS, MISSED BID DEADLINES, LOST CONTRACTS, LOSS OF DATA, BUSINESS INTERRUPTION, OR DAMAGES ARISING FROM RELIANCE ON AI-GENERATED CONTENT OR CONTRACT INTELLIGENCE PREDICTIONS, EVEN IF ROUTEREADY HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

Some jurisdictions do not allow the exclusion or limitation of certain damages. In such jurisdictions, the above limitations apply to the extent permitted by law.

17. Indemnification

You agree to indemnify, defend, and hold harmless RouteReady and its operators, employees, contractors, and agents from and against any claims, damages, losses, and expenses (including reasonable attorneys' fees) arising out of or relating to:

  • Your use of the platform in violation of these Terms.
  • Content you upload, submit, or send through the platform.
  • Your violation of any law or third-party rights.
  • Emails you send using AI-generated outreach drafts.

18. Governing law and disputes

These Terms are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict-of-law principles.

Informal resolution first: Before filing any formal legal claim, you agree to contact us at support@routereadyma.com and attempt to resolve the dispute informally for at least 30 days.

Jurisdiction: Any legal action or proceeding arising from these Terms shall be brought exclusively in the state or federal courts located in Massachusetts, and you consent to personal jurisdiction in those courts.

Nothing in this section prevents either party from seeking emergency injunctive relief to prevent irreparable harm.

19. Changes to these terms

We may update these Terms. We will notify active users by email at least 14 days before material changes take effect. The “Last updated” date at the top of this page reflects the most recent revision. Continued use after the effective date constitutes acceptance of the updated Terms.

Non-material changes (typo corrections, clarifications that do not alter your rights or obligations) may be made without notice.
